2000 T.C.C.R.A. SIGN-UP LOCATION PROCEDURE
(President's responsibility)
1. Send a letter to all shops that applied last year, asking if they would like to apply for sign up the coming season.
2. Send a similar letter to all shops that supplied door prizes for banquet.
3. Place a notice in the T.C.C.R.A. newsletter advising our membership to notify any of their supporting shops to apply for sign up if interested.
4. Have all requests for sign up sent to the President-with a set deadline.
5. Visit any new shops applying to verify location and that the shop has enough room for our sign up staff and membership.
6. Assign each shop that applies by the deadline a sequence number to be used instead of the shop name.
7. Generate a spreadsheet listing the shops using only the sequence number and the following; parts discount, accessory discount, new bike discount, door prizes and special inducements. The list should also include the distance from the DFW metroplex and the number of years it has been since the shop had sign up.
8. Run copies for all officers and have each officer to review the spreadsheet and vote for one shop only.
9. Tally the votes and declare a winner. (Majority vote required.)
10. Notify the selected shop and verify the sign up date with the Owner/Manager. Follow up with a confirmation letter and a set of the past season's mailing labels for flyer mailings.
11. Send a thank you letter to all shops not selected and ask them to apply again next year.
